Privacy Policy

This site collects two things: what you type into the consultation form, and the ordinary request logs any web server keeps. There is no advertising pixel and no marketing list. This page says exactly what happens to the rest.

Who this is from

Novyant is a software firm registered in Delaware, United States. We design, build and operate custom software and AI systems. Where this policy says we, us or our, it means Novyant.

This policy covers novyant.ai and the consultation booking on it. It does not cover the platforms we build and operate for clients, which are governed by our agreement with that client. See the section on client systems below.

What we collect

Only two things, and one of them you have to choose to send us.

The consultation form. Three fields are required: your name, your work email address and your company. Everything else is optional and you can skip all of it: your role, your industry, your company size, your timeline, what you want help with, and anything you type into the notes box.

Request logs. Like any web server, ours records the IP address the request came from, the browser user agent, the page requested and the time. This is what makes it possible to keep the site up and to see when something is being attacked or broken.

What we do not collect

This list is worth stating plainly, because a policy that only says what it does collect leaves the rest to your imagination.

  • No advertising pixels, and nothing that tracks you across other websites.
  • No profiles, scores or behavioural records built about you.
  • No accounts and no passwords. There is nothing on this site to log into.
  • No purchased contact lists. If we email you, it is because you wrote to us first.
  • We do not sell, rent or trade personal information, and we never have.

Cookies

This site sets one cookie, named NEXT_LOCALE. It remembers whether you are reading in English or Spanish so the site does not switch back on you. It carries no identifier and is used for nothing else. There is no consent banner because there is nothing here to consent to.

The one exception is the booking calendar on the consultation page, which is an embedded Calendly frame. When it loads, Calendly sets its own cookies inside that frame, under Calendly's privacy policy rather than ours. If you never reach the booking step, it never loads.

Why we use it

  • To reply to you, and to arrive at the call knowing something about your situation rather than spending the first fifteen minutes on questions you already answered.
  • To arrange, confirm and reschedule the call itself.
  • To keep the site running, and to identify and block abuse.

That is the complete list. Filling in the consultation form does not put you on a mailing list, and there is no mailing list to be put on.

Who else handles it

Three companies, each doing one job. All three process data in the United States.

Amazon Web Services
Hosts the site. Sees the request logs described above, and the form submission as it passes through.
Resend
Delivers the briefing email to us. The contents of your form pass through it in that message.
Calendly
Runs the booking calendar. Receives your name, email address, timezone and anything you add when booking. Calendly is the record of the appointment itself.

Beyond those three, your message sits in our own email inboxes, which are hosted by our email provider in the ordinary way. Nobody outside Novyant reads it.

How long we keep it

  • Consultation enquiries: for as long as we are in contact, and for up to 24 months after the last exchange. Then we delete them. If you ask us to delete sooner, we do it sooner.
  • Request logs: a short rolling window, typically 30 days, after which our host discards them.
  • Booking records held by Calendly: until we delete them there, on the same 24 month basis.

How we protect it

Every connection to this site is encrypted. The accounts that can reach form submissions belong to the three founders and nobody else, and each requires multi-factor authentication. We do not copy enquiries into spreadsheets, shared drives or a CRM.

No system is perfectly secure and we will not claim otherwise. If something goes wrong in a way that affects you, we will tell you rather than wait to be asked.

What you can ask us to do

Write to contact@novyant.ai and ask for any of the following. There is no form to fill in and no charge.

  • Tell you what we hold about you.
  • Correct anything that is wrong.
  • Delete it. Unless we are required to keep something, we will, and we will confirm when it is done.
  • Send you a copy of what you gave us.
  • Stop contacting you, permanently.

We reply within 30 days and usually within two working days. If a request does not obviously come from the person it concerns, we will ask you to confirm who you are before we act on it, because doing otherwise would be the security failure.

Where your data goes

Novyant is a United States company and the three services listed above process data in the United States. If you write to us from elsewhere, your information is being sent to and stored in the United States, where the legal protections differ from those in your own country. Sending us the form is you choosing to do that.

The systems we build for clients

This is the part most likely to be misread, so it is worth being exact. When we build or operate a platform for a client, the data inside it belongs to that client. They decide what goes in, who may see it and how long it is kept. We act on their written instruction. This policy does not govern any of it.

Several of those deployments run inside cloud infrastructure the client owns and controls, in which case we operate the system and never hold the data at all.

If you are an insured party, a student, a patient or anyone else whose records sit in a system we built, we are not the right people to ask. The organization that gave you access is the one that decides, and they are who your request has to go to.

Children

This site is aimed at people making decisions for an organization, and is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has sent us something, write to us and we will delete it.

Changes to this policy

If this changes, the date at the top changes with it. If the change is material, meaning it affects what we collect or who sees it, we will say so plainly on this page rather than quietly updating the text.
